1. Who We Are
Cleer is an Archonic desktop application for learning and productivity. Our company website is archonic.dev, and Cleer's website is cleer.archonic.dev.
This policy describes the information processed by Cleer, including its optional Google Docs and Gmail integrations. Connecting a Google service is optional and requires a separate consent step.
2. Information We Process
Cleer accounts and application features
We process your account email, password hashes, session information, prompts, responses, saved conversations, project sources, study materials, settings and usage information as needed to operate the features you use. Screen or device information may be processed when you use screen assistance or desktop automation. This information is not limited to storage on your device: cloud and AI features transmit information to our services.
Google Docs
When you connect Google Docs, Cleer accesses your Google account email and obtains authorization tokens. Cleer reads document titles, text and structure for documents you open by link. Docs access is read-only: this integration does not create, edit, rename or delete your documents, and does not request Drive, Sheets or Classroom permissions.
Gmail
When you connect Gmail, Cleer processes your Google account email and authorization information. When you ask it to use Gmail, it accesses matching conversations, including sender and recipient addresses, subjects, timestamps and message bodies. It creates new-message and reply drafts, saves edits to those drafts and sends a draft only after you confirm sending.
3. AI Processing and Service Providers
Document contents, matching email contents and your requests are sent through Cleer's backend when needed to answer questions, generate study materials or prepare drafts. The Gmail assistant uses Google Gemini. Document-based AI features use the provider configured for that feature. Our deployed AI gateway uses Google Gemini; other application features or user-configured services may involve other providers.
Cloudflare hosts Cleer's backend services and cloud storage. Depending on the feature, cloud data is stored in databases or object storage. Google provides the Docs and Gmail APIs and Gemini processing. These providers process the data needed to supply the requested functionality.
Before connecting Google, Cleer displays an in-app explanation of this access and processing and asks you to continue. You then choose whether to authorize access on Google's consent screen.
4. Storage and Retention
The current desktop Google Docs connection stores its authorization tokens on your device. It does not upload those Docs tokens to Cleer's backend. The list of documents opened by link is held for the current connection session; document contents and generated results may also be saved if you add them to chats, projects or study materials.
The Gmail connection stores an encrypted refresh token and connection metadata on Cleer's backend. Drafts and sent messages are stored in Gmail. Draft text and generated answers may also appear in saved Cleer chat history.
Saved content remains available until it is deleted through the relevant feature or a deletion request is processed. Disconnecting an integration stops access through that connection but does not automatically delete previously saved chats, project sources, study materials, Gmail drafts or sent messages. Service-provider logs and backups may have separate retention periods; contact us about a specific deletion request.
We use HTTPS for communication with cloud services. Gmail refresh tokens are encrypted before database storage. No security measure can eliminate all risks.
5. Google User Data and Limited Use
Cleer's use and transfer of information received from Google APIs is subject to the Google API Services User Data Policy, including the Limited Use requirements, and the Google Workspace user data and developer policy.
Google data is used to provide the user-facing features you request. It is not sold or used for advertising, credit decisions or training generalized AI models. Transfers to service providers are limited to supporting those features and other uses permitted by Google's policies. Human access to Google data is limited to the exceptions allowed by those policies, such as your explicit consent for support, security needs or legal obligations.
6. Your Controls and Deletion Requests
- Disable Google Docs in Settings to stop its use in Cleer. Use Google sign-out to clear the desktop connection.
- Disconnect Gmail in Settings to remove Cleer's stored Gmail connection and request revocation of its Google authorization.
- Remove Cleer through Google Account connections to revoke its Google permissions.
- Delete saved Cleer chats or project sources separately when you no longer want those copies. Manage Gmail drafts and messages within Gmail.
- For account deletion, stored Google data, or copies you cannot remove through the app, email akshaypadamata@outlook.com with the account email and the data you want removed. We may need to verify your identity before fulfilling a request. Do not send passwords or authorization tokens.
Revoking authorization does not by itself delete content previously stored by Cleer or by Google.
7. Other Information
Cleer is not intended for users under 13. Information may be processed outside your country by Archonic and its service providers. We update this policy when practices change and identify the update date above. Material changes to Google data access require an appropriate notice and consent before that access occurs.
